Club Policies & Important Information

At Harefield Gymnastics, the safety, wellbeing and enjoyment of every gymnast are our highest priorities. We are committed to providing a positive, inclusive and supportive environment where gymnasts of all ages can develop their skills, confidence and love for the sport.

As a British Gymnastics registered club, we follow recognised safeguarding, health and safety standards and regularly review our policies and procedures to ensure we continue to provide the best possible experience for our gymnasts and families.


Membership & Fees

Places within our classes are allocated on a termly basis. To secure your child’s place for the following term, fees must be paid by the renewal deadline stated on your invoice. Unfortunately, places cannot be guaranteed after this date if payment has not been received.

All fees must be paid before gymnasts attend classes. Fees are based on your child’s allocated place within the class rather than attendance; therefore, missed sessions due to illness, holidays or other personal circumstances cannot be refunded.

Our fees help cover coaching, venue hire, equipment, insurance and the running costs required to provide safe and high-quality gymnastics sessions.


British Gymnastics Membership

All gymnasts attending Harefield Gymnastics are required to hold the appropriate British Gymnastics membership. This provides insurance cover and enables gymnasts to participate in training and competitions. Membership is renewed annually, and families will be contacted when renewal is due. Gymnasts must have a valid membership in place before taking part in gymnastics activities.


Class Attendance & Missed Sessions

Regular attendance is encouraged to help gymnasts develop their skills, confidence and progression. If your child is unable to attend, please notify the club where possible.

As fees are based on holding a place within the class, missed sessions due to illness, holidays or personal circumstances cannot be refunded or transferred to another session.

If Harefield Gymnastics needs to cancel a session due to circumstances outside of our control (such as venue closure or extreme weather), we will always aim to provide an alternative solution wherever possible.


Class Transfers & Moving Groups

Gymnasts progress at different rates depending on their age, ability, confidence and physical development.

Coaches regularly assess gymnasts and will recommend when they are ready to move into a different class or training group. This ensures each gymnast is placed in an environment suited to their current ability, confidence and development, allowing them to continue progressing safely and positively.

Squad Gymnastics

Squad places involve a commitment from gymnasts, families and the club. Squad gymnasts train more frequently and follow a structured programme designed to support skill development, performance and competition preparation.

Monthly squad fees are collected automatically through our payment system. If a gymnast wishes to leave the squad programme, one month’s notice is required. Fees remain payable during the notice period and refunds cannot be provided for part-month cancellations.


Safeguarding

The safety and wellbeing of every gymnast is extremely important to us. All coaches and volunteers are committed to creating a safe, respectful and positive environment.

We follow British Gymnastics safeguarding guidance and ensure appropriate procedures are in place to protect all members.

If you have any safeguarding concerns or need to discuss a welfare matter, our Welfare Officers, Anita Bedwell and Nicola Burrows, are available to support you. They can be contacted via [email protected].


Club Behaviour & Conduct

We expect all members of our gymnastics community to show respect, kindness and good sportsmanship at all times. This includes:

  • Treating coaches, gymnasts and other families with respect
  • Following coach instructions and club rules
  • Encouraging a positive and supportive environment
  • Using appropriate language and behaviour

Health & Safety

Parents/guardians must ensure that:

  • The club is informed of any medical conditions, injuries or relevant health information
  • Emergency contact details are kept up to date
  • Gymnasts arrive appropriately dressed and ready to participate safely

Photography & Videos

From time to time, photos and videos may be taken during classes, competitions, events or club activities for use on our website, social media or promotional materials.

Parents/guardians can update their photography consent preferences through the club registration system. Please contact us if you have any questions or concerns.


Data Protection & Privacy

We take the privacy and security of our members’ information seriously. Information is only used for legitimate club purposes, including administration, communication, safeguarding and the delivery of gymnastics activities.


Complaints & Feedback

We welcome feedback from gymnasts, parents and guardians as it helps us continue to improve.

If you have a concern, please contact the club so we can discuss the matter and work towards a suitable resolution. Our Complaints Procedure provides further information on how concerns are handled.
